Introduction
Vouchers can be used to provide customers with offers and savings. They can be added to memberships to provide perks and are particularly useful when wanting to gift memberships. It can be useful to think of vouchers as physical tickets that you hand over as they are single use. If you are wanting to setup a membership where a member receives 15 tickets a year, vouchers are a good way of doing this.
Creating a Voucher
In Indy Admin, navigate to Vouchers by going to Settings→Promotions→Voucher Types.
Click ‘Add Voucher Type’ in the top right hand corner.
Name the Voucher. Something in keeping with what you are offering will be great e.g. 10% off Popcorn.
Under ‘Type’, select what kind of Discount you wish to use. -Ticket: A cinema ticket for admission to a film -Item: A concession or merch item e.g. popcorn or souvenir cup -Specific Item: A specific concession or merch e.g. large popcorn or small coke -Specific Membership: The particular membership that the voucher can be used to buy -Item Package: A collection of items that have been added into a package
Min/Max Price/Value can be used if you want to specify the value of the voucher e.g. if the voucher is £2 off a popcorn, it would have a Max Value of £2.
Tax can be toggled on if the item is to include tax.
If you want to set an expiry date for the voucher, you can toggle on ‘expire’ and select either months or years.
Under ‘Style’ you can add an image of the voucher which will show on the website if you want to sell vouchers online. You can also add an additional description here.
If you are wanting to assign the voucher to a card you can do this under ‘Card’ and toggle on ‘require assigned card’. Under Barcode Requirements, you can specify how long the barcode is meant to be and what prefix is required if any.
If you allow people to earn points when they spend, they can use these points to redeem vouchers. Toggle on, ‘Is Reward’ and set the ‘Points Cost’ to how many points you want the item to cost. If you wish to sell the voucher, for example, a membership voucher, you can toggle ‘For sale’ and set the price. If you want the voucher to be used as a service issue, you can toggle on ‘Service Issue’. A button with the voucher name can be added to the register grid to access these easily.
Restrictions
N.B. Restrictions are applied sequentially. Specifics override general, e.g. a showing will override a movie
Matching Showings will show everything that the voucher currently applies to. You can remove these by clicking the ‘X’ or we can add in more restrictions.
If you want to restrict the voucher for use by specific membership types, you can toggle on ‘restrict by membership type’ then specify what the membership is under the box ‘Include Membership Types’.
‘Include Ticket Types’ allows you to restrict the voucher to particular ticket types. You can also toggle on ‘Exclude’ and list the ticket types that won’t be able to benefit from the voucher.
‘Include Title Classes’ is where we can specify what kind of film we would use this discount for. Equally, we can toggle on ‘Exclude’ if we would like to exclude film types. This would be beneficial where you don’t want to include things like Event Cinema or Concerts. These are usually priced higher and are often excluded from discounts and promotions.
‘Include Movies’ if where we can specify particular films that the discount would be used for. This would be useful if we wanted to do a discount exclusively for a particular movie e.g. Barbie Movie Promo. You can also toggle on ‘Exclude’ again if you wish to exclude particular films.
If you wish to narrow down the voucher to a particular showing for example, only the first showing of Barbie was to be discounted as a special promo, you can list this under ‘Showings to Include’. You can also Exclude showings if you were wanting to exclude particular showings.
Under ‘Other Conditions’ you can add more restrictions or exemptions: -Day of the Week: You can only use this discount on a select day of the week -Time of the Day: You can only use this discount at a specific time of the day. -Custom Dates: You can only use this discount on the dates specified` -Exclude Dates: Your discount will NOT be redeemable on these dates
Once you are happy with your configuration, you can Push Configuration changes (green arrow in ribbon bar) to publish it.
Using Your Voucher on the POS
To sell your Voucher, you can add it to your Register Grid by going to Settings→Stations & Hardware→Register Grids. Select which grid you would like to add it to then click on the + of an empty button. Under ‘Type’ select, ‘Voucher Sale’ and under Voucher Types, select the Voucher you have just created, in this instance ‘Girly Marathon’. You can also add a service Issue Voucher to the Grid by selecting, ‘Voucher Service Issue’ then selecting the Voucher Type. This would be useful if you had created something like a free popcorn to offer guests due to delays or dissatisfaction for example.
2. Save and publish your changes by hitting the green arrow at the top of the screen.
3. Once added, you’ll be able to access the voucher on the POS by clicking on the register grid you’ve just been in, then selecting the voucher package you just created, in this instance, ‘Vouc Girly Marathon’. You will then be able to add the item to the cart and checkout as normal.
Using Your Voucher Online
Go to Settings→Website and Marketing→Pages. Select which page you would like to sell vouchers on. In this example, we are going to select the ‘Gift cards’ page. Click on, ‘Create Section’.
At the top of the next page where it says ‘Type’, select ‘Voucher Sales Widget. This will bring up a new container with the title ‘Voucher Sales’. Click, the ‘Add Voucher Sale’ button. You will then have the option of selecting ‘Voucher Type’ or ‘Voucher Package’. In this instance, click ‘Voucher Type’ and select the voucher you have just created. You can also select a minimum sale amount if you wish. Hit ‘Create’.
You will then see an example of your Voucher online. If you’re happy with this, you can hit ‘Create and Close’.
To update your changes, hit the yellow ‘Publish Changes’ icon on ‘Pages’ and then hit the green arrow at the top of the page, as before.
